The Service Cost Report shows what each service brought in, what the products used on it cost, and the gross profit and margin left over. Use it to see which services and which properties are the most and least profitable.

Find it under Reports → Service Cost Report. All figures come from your completed services (the same data as the Completed Services Log Report).

Note: Amount Charged does not include sales tax.

Two tabs

  • Summary: one row per service, showing how each service performed across all your properties.
  • Property View: one row per property, sorted by customer name, showing how each property performed.

Each tab has its own filters. The date range carries over when you switch tabs.

Filter Options

Summary tab

  • Start Date / End Date: the dates the services were completed. Defaults to year to date (January 1 through today).
  • Service Area: one or more service areas.
  • Commercial / Residential: the property type.
  • Program: one or more programs.
  • Billing Type: for example Prepay or Pay As You Go.
  • Tags: one or more property tags.

Property View tab

  • Customers: one or more customers.
  • Start Date / End Date: defaults to year to date.
  • Service Area and Commercial / Residential: same as above.

Both dates are required, and the start date can't be after the end date. If a filter isn't valid, a message appears under it.

Action Controls

  • Search: builds the report for the selected filters.
  • Reset: clears the filters and sets the dates back to year to date.
  • Download CSV: downloads the current tab as a spreadsheet, using the same filters and numbers as the screen.
  • Print table: opens a printable copy of the table.

If a selection covers more than 20,000 completed services, the report asks you to narrow the date range.

Understanding the Report Table

Service (Summary)The service name.
Customer / Property / Property Address (Property View)The property and its customer. Click a name to open the customer or property. If a property has had more than one customer in the date range, the most recent one is shown, followed by "(+N more)".
Services CompletedHow many services were completed.
Total Sq Ft (Summary)Square feet added up per completed service, so a property serviced six times counts six times. A service that targets a custom area uses that area's size.
Yard Sq Ft (Property View)The property's yard square feet, counted once no matter how many times it was serviced.
Amount ChargedWhat was billed for those services: the same figure as Billed Amount on the Completed Services Log (after discounts and coupons, before tax).
Product CostWhat the products applied cost (see "How product cost is calculated" below).
Gross ProfitAmount Charged minus Product Cost.
Gross Profit MarginGross Profit as a percentage of Amount Charged. Shows "n/a" when nothing was charged, and can be negative when products cost more than was charged.
Cost IncompleteServices where a product's cost couldn't be worked out (see below).
No Cost DataServices that used a product with no cost entered, or a product that was deleted. Those products count as $0.

The totals row adds up each column. Margin in the totals row is the total gross profit divided by the total amount charged.

How product cost is calculated

Product cost uses the Product Cost fields on each product (cost, per unit value and unit). Go to Products, edit a product, and fill in, for example, $120 per 2.5 Gallon. Spraye then multiplies the amount applied on each service by that cost, converting between units where needed (for example, fluid ounces applied against a per-gallon cost).

  • The cost is saved when a service is completed, so later price changes don't change past services.
  • Services completed before Spraye started saving costs use the product's current cost.
  • If a product has no cost entered, it counts as $0 and the service is counted under No Cost Data. Once you enter the cost, those services are priced at it.
  • If a product's applied unit can't be converted to its cost unit (for example, applied in pounds but priced per gallon), that product is left out and the service is counted under Cost Incomplete. Make the cost unit match how the product is applied to fix this.

Completed Services Log: new cost columns

The Completed Services Log now also shows Product Cost, Gross Profit and Gross Profit Margin for each service. A * next to Product Cost means the cost is incomplete or a product has no cost entered; hover over it to see which. In the log's CSV download these columns, plus "Product Cost Incomplete" and "Product Cost Missing Data", are added at the end, so the existing columns keep their positions.
