The Customer / Property List Builder lets you build a list of your customers and their properties by combining filters: customer and property status, billing, notification settings, tags, service areas and property zones. You can search the list, see how many records match, and download it as a CSV file.
Use it to answer questions like “which active customers have a canceled property?”, “who doesn’t have a card on file?” or “who has pre-service notifications turned off?” without asking support for a custom report.
To open it, go to Reports > Customer / Property List Builder.
Who can use it: the List Builder follows the same permission as your Customers list. If a user’s role can’t open the Customers list, it can’t open the List Builder or download its CSV either.
Choosing your rows
The first filter, Rows, decides what each line of the list represents:
- One per customer & property: (default) one line for each customer and each of their properties. A customer with three properties appears three times. A property shared by two customers appears once for each customer.
- One per customer: each customer appears once. Property filters still apply: a customer is included when at least one of their properties matches them.
Customers who have no properties never appear in the List Builder.
How filters combine
- Different filters are combined with AND: a row must match every filter you set.
- Inside one filter, the options you select are combined with OR. For example, selecting the Active and On-Hold customer statuses shows customers who are either.
- A filter left on Any (or with nothing selected) doesn’t narrow the list.
Status filters
- Customer status: select one or more customer statuses (e.g., Active, On-Hold, Non-Active, Estimate, Prospect).
- Property status: select one or more property statuses, including each of the Canceled statuses (Canceled – Moved, Canceled – Do not call, Canceled – Call Next Year, Canceled – Collections, Canceled).
Billing filters
Card on file and autopay are read from your company’s active payment processor only: SprayePay, Fiserv or Basys. Hover over the filter to see which processor the List Builder is using for your company.
- Card on file: Has a card or No card. A customer counts as having a card when a saved card (or, for Fiserv, a saved bank account) is on file with your active processor.
- Autopay: On or Off, using the autopay setting for your active processor.
- Customer portal: Signed up or Not signed up. A customer is signed up once they have set a password for the customer portal.
Notification filters
- Pre-service notification: select one or more of Phone Call, Automated Email(s), Automated Text message(s) and Text when En route. Choose None to find customers with no pre-service notification selected at all.
- Email: Subscribed or Unsubscribed from email.
- Text alerts: On or Off.
- Completion email and Completion text: whether the customer receives the service completion notification by email or by text.
- Past due reminders: On or Off. Off means “Disable automated past due reminders” is checked on the customer.
Tag and location filters
- Tags: select one or more property tags. A property matches if it has any of the selected tags.
- Service area: select one or more service areas.
- Property zone: select one or more property zones.
Searching, totals and sorting
- The Search box matches customer names, company names, emails, and property names and addresses. In One per customer, it searches the customer’s properties that match your other filters.
- The Total matching line under the table shows how many rows match your filters and search.
- Click a column heading to sort. Click a customer or property name to open its profile.
Downloading a CSV
Click Download CSV to export every row that matches your filters and search, in the same order as the table. The file includes customer and property IDs, names, company, email, phone, property address, and customer and property status (property columns are left out when you choose One per customer).
TIP Very large lists may take a while to export. If an export takes longer than about a minute, you’ll be asked to narrow your filters and try again.
Examples
Example 1 Find active customers with a canceled property.
- Leave Rows on One per customer & property.
- Set Customer status to Active.
- Set Property status to the Canceled statuses you want (and Non-Active if needed).
The list shows each active customer next to the property that is canceled.
Example 2 Find active customers without a card on file.
- Set Rows to One per customer.
- Set Customer status to Active.
- Set Card on file to No card.
- Click Download CSV to work through the list.
Example 3 Find customers who receive no pre-service notifications.
- Set Rows to One per customer.
- Set Pre-service notification to None.
Example 4 Find properties in a property zone that also have a tag.
- Leave Rows on One per customer & property.
- Select the zone in Property zone.
- Select the tag in Tags.
