To help you present clear, tailored messaging to prospects and existing clients, Spraye allows you to separate the service details shown on sales documents from those shown on post-service invoices.
While post-service invoices often require technical details, compliance information, or product application data, prospects evaluating an estimate typically need simple, sales-oriented copy. With the Estimate Description field, you can customize what prospects see without altering your invoice documentation.
How Description Fields Work
When editing a service (Admin → Services → Edit Service), you will find two distinct description fields:
- Service Description: The main description used on invoices and post-service customer documents.
- Estimate Description: An optional override field used specifically for estimates.
Description Display Logic
| Document Type | Displayed Description |
|---|---|
| Estimates (Interactive estimates & previews) | Displays the Estimate Description if populated. If left blank, it automatically falls back to the main Service Description. |
| Invoices (Standard post-service) | Always displays the main Service Description. |
| Pre-printed Route Invoices | Always displays the main Service Description, even for prepaid services. |
Service Description & Notes Ecosystem
The Edit Service screen includes multiple specialized fields to control where your copy appears across documents and notifications:
- Service Description: Primary text displayed on customer invoices and post-service documentation.
- Estimate Description: Optional pre-service text shown on sales estimates in place of the standard service description.
- Service Notes: Dynamic text that can be inserted into automated pre- or post-service email templates using dynamic placeholders.
- Pre-Service Instructions & Post-Service Instructions: Dedicated fields with distinct dynamic placeholders designed to populate pre-service or post-service customer email notifications.
