When sending estimates, you may want to collect an upfront deposit to cover material costs before accepting and scheduling the job. While Spraye does not currently have an automated split deposit feature built into interactive estimates, you can collect deposits manually by leveraging saved payment methods and account credits.
Step 1: Enable Required Auto-Pay for Estimate Acceptance
To ensure you have a card on file to process the deposit, enable forced credit card entry upon acceptance.
- Navigate to Main Settings in your Spraye dashboard.
- Locate the option "Require Auto-pay To Accept Estimates" and turn it ON.
- Save your changes.
Note: With this setting enabled, customers cannot click "Accept" on an Interactive Estimate without entering valid credit card details.
Step 2: Collect and Apply the Deposit
Once the customer accepts the estimate:
- Click on the + Add Credit button at the top of the Update Customer page.
- For SprayePay/PayPal users: Select "SprayePay" from the Payment Type dropdown menu. For FISERV users: Select Credit Card/ACH from the Payment Type dropdown menu.
- Select the customers saved card.
- Enter the credit amount. You can charge the customer's credit card for any amount.
- Click Submit to charge the customers saved card and add the credit to their account.
Step 3: Complete the Service & Apply Balance
If the estimate was set up as "Invoiced at Job Completion":
- Complete the service as normal to generate the final invoice.
- Mark the invoice status as Sent. Spraye will automatically apply the customer's existing credit balance to the invoice.
- Process the remaining balance by charging the saved credit card on file or logging an alternate payment method (cash, check, etc.) to pay for the balance due of the invoice.
Best Practices for Customer Communication
To prevent confusion, clearly outline your deposit policy before the customer accepts:
- Include explicit deposit terms in the Estimate Message field when setting up the mass estimate.
- Add a note in the Email Body template when sending out the estimate blast (e.g., "Accepting this estimate requires a 50% deposit to secure your materials and spot on our schedule. Your card on file will be charged upon acceptance.").
