Reports Covered in the Webinar

Customer and Technician Analysis Dashboards

The webinar begins with an overview of SPRAYE’s customer and technician analysis dashboards.

These dashboards provide visual summaries of information such as:

  • Customers by company or branch
  • Customers by billing city or ZIP code
  • Revenue produced by technicians
  • Services completed by technicians
  • Square footage serviced
  • Technician production and performance trends

These dashboards can be especially useful for companies with multiple service areas, branches or technicians.

Skipped Services Report

The Skipped Services Report helps you understand why scheduled services were not completed.

You can review:

  • The number of services skipped for each reason
  • Revenue associated with those skipped services
  • Common causes such as customer requests, timing issues or the program beginning later in the season

This report can help you identify recurring operational problems and determine how much potential revenue is tied to skipped work.

Technician Efficiency Report

The Technician Efficiency Report provides a detailed view of technician productivity over a selected date range.

Depending on the available data, the report may include:

  • Number of routes worked
  • Number of services completed
  • Total square footage completed
  • Revenue produced
  • Services completed per hour
  • Square footage completed per hour
  • Revenue produced per hour
  • Total time spent at properties
  • Budgeted time compared with actual time

Use this report to compare technician performance, identify coaching opportunities and evaluate whether route and production expectations are realistic.

When comparing technicians, remember that service types, property sizes, route density, drive time and customer mix can all affect the results.

Completed Service Log

The Completed Service Log provides detailed records of completed services.

It can be used to review information such as:

  • The employee who completed the service
  • Customer and property information
  • Products applied
  • Application methods
  • Area treated
  • Weather information
  • Start and completion times
  • Duration of the service

This is especially helpful when researching a specific application, responding to a customer question or reviewing treatment records.

Customer Growth Analysis Report

The Customer Growth Analysis Report helps you measure changes in your customer and property counts over time.

The report can show:

  • Starting properties
  • New properties
  • Canceled properties
  • Net customer or property growth
  • Growth rates over a selected period
  • A visual chart of growth trends

Filters allow you to narrow the results by programs, services, service areas and other criteria.

This report can help you determine whether growth is coming from new sales, expansion within existing accounts or improvements in customer retention.

Marketing and Customer Data Report

The Marketing / Customer Data Report allows you to create targeted customer lists using a wide range of filters.

You may filter customers based on information such as:

  • Lead source
  • Sales representative
  • Customer or property attributes
  • Programs and services
  • Outstanding services
  • Completed services
  • Previously sold or unsold services
  • Service dates

After building a list, you can export the results or use them for targeted communication and marketing campaigns.

Examples include identifying:

  • Customers who do not currently have a particular service
  • Customers who previously purchased a service but have not renewed it
  • Leads generated by a particular marketing source
  • Customers who may be good candidates for an upsell

Sales Commission and Bonus Reports

The webinar also reviews reports that can help calculate commissions or bonuses associated with sold and completed work.

Depending on how your company structures compensation, these reports can help track:

  • Primary and secondary services sold
  • Revenue associated with those services
  • Sales commissions
  • Production-related bonuses
  • Work completed within selected date ranges

These reports can reduce the amount of manual work required when calculating employee incentives.

Customer Cancellation Report

The cancellation reporting tools help you understand customer and property losses.

You can review details such as:

  • The cancellation date
  • The person who entered the cancellation
  • Customer and property information
  • Revenue associated with the canceled account
  • The assigned sales representative
  • Services and programs that were canceled
  • The cancellation reason

Reviewing this report regularly can help your company spot patterns, improve retention efforts and better understand how much revenue is being lost through cancellations.

Sales Pipeline Detail Report

The Sales Pipeline Detail Report provides a detailed list of estimates and sales opportunities by representative.

This report can be used to review:

  • Customers and properties with estimates
  • Programs or services included in each estimate
  • Estimate amounts
  • Estimate status
  • Estimate and expiration dates
  • Opportunities assigned to individual sales representatives

It is helpful for following up on open estimates and ensuring sales opportunities do not get overlooked.

Sales Performance Dashboard

SPRAYE’s sales reporting also includes summary-level performance information, such as:

  • Number of estimates created
  • Estimate close rate
  • Revenue close rate
  • Average time to close
  • Comparison with previous periods
  • Changes in close rates over time

These metrics can help you compare sales representatives and evaluate the overall health of your sales process.

Available Work Report

The Available Work Report helps you identify assigned services that remain outstanding.

Results can be filtered by criteria such as:

  • Service
  • Program
  • Date range
  • Property type
  • Billing type
  • Service area

The report may include:

  • Total services assigned
  • Services scheduled
  • Services completed
  • Services still outstanding
  • Outstanding square footage
  • Revenue associated with scheduled and outstanding work

This is one of the most useful reports for planning production, forecasting the remaining workload and making sure services are completed before the end of the season.

Customer Credit Report

The Customer Credit Report provides a record of credits added to customer accounts.

You can review information such as:

  • Customer
  • Date
  • Employee who entered the credit
  • Credit amount
  • Payment or credit type
  • Notes

Use this report when reconciling customer balances or researching how a credit was created.

Invoice Age Report

The Invoice Age Report organizes unpaid balances according to how long they have been outstanding.

Balances are grouped into aging periods such as:

  • 0–15 days
  • 16–30 days
  • 31–45 days
  • 46–60 days
  • 61–75 days
  • 76–90 days
  • More than 90 days

This report can help you prioritize collection efforts and identify customers with significantly overdue balances.

Payment Log Report

The Payment Log Report provides a searchable record of payments.

You can filter payments using criteria such as:

  • Customer
  • Payment type
  • Payment method
  • Date range

This report is useful when researching a payment, reconciling transactions or reviewing how a customer paid.

Revenue by Service Type

The Revenue by Service Type Report shows how much revenue was generated by different categories of work during a selected period.

Examples may include:

  • Lawn treatments
  • Landscaping
  • Mowing
  • Mosquito treatments
  • Deer control
  • Other custom service types

This report can help you understand which parts of your business generate the most revenue and how your service mix is changing.

The revenue amounts shown in this report do not include sales tax.

Material Resource Planning Report

The Material Resource Planning Report helps estimate the products needed to complete outstanding services.

After selecting a service and, when applicable, a grass type, the report can show:

  • Products associated with the service
  • Number of outstanding services
  • Outstanding square footage
  • Estimated amount of product needed
  • Product currently on hand
  • Product already ordered
  • Whether the projected amount is over or under the expected need

This report can help your company plan product purchases and reduce the risk of running short during the season.

Because the calculations depend on how services, products and application rates are configured, review your setup carefully before using the report to make purchasing decisions.

Tips for Using SPRAYE Reports

To get the most useful results from your reports:

  1. Confirm the date range. Many reports default to a particular date or period, so verify the dates before reviewing the results.
  2. Use filters to narrow the data. Service areas, programs, services, employees and property types can help you focus on the information that matters.
  3. Review both summary and detail views. Summary information helps identify trends, while detailed records help explain what caused them.
  4. Export data when additional analysis is needed. Many reports include a CSV download that can be opened in spreadsheet software.
  5. Save commonly used searches when available. Saved searches can make recurring reporting faster and more consistent.
  6. Review reports throughout the season. Reports are most valuable when they are used regularly rather than only at the end of the year.

Recommended Reports to Review Regularly

Although every company’s reporting needs are different, a useful routine could include:

  • Weekly: Available Work, Skipped Services and Sales Pipeline
  • Monthly: Technician Efficiency, Customer Growth and Invoice Aging
  • Quarterly: Cancellations, Revenue by Service Type and marketing-source performance
  • Before purchasing products: Material Resource Planning

Regular reporting can help you identify issues earlier, keep your team accountable and make decisions based on what is actually happening in your business.

The reports and fields available in your SPRAYE account may vary based on your account configuration, user permissions and updates made after this webinar was recorded.
