To improve communication and keep your customers informed, you can automatically send a confirmation email or text message whenever an invoice is marked as paid. This feature can be easily toggled on or off depending on your business needs, and it applies regardless of the payment method used.
How it Works
When this feature is enabled, a notification is automatically triggered the moment an invoice is paid in full.
Note: Notifications are not sent for partial payments or account credit purchases. However, applying a credit to an invoice will trigger this notification once the invoice is paid in full.
Step-by-Step Configuration
To set up and customize your paid invoice notifications, follow these steps:
1. Access the Settings
- Navigate to the Global Settings page in your dashboard.
- Locate the Invoice Settings section.
- Find the Invoice paid notification settings.
2. Enable and Customize Email Notifications
- Toggle the Feature: Locate the toggle labeled "Send notification to customer for paid invoices (email message)" and switch it to On.
- Edit the Subject Line: In the (subject) field, customize the email subject. You can use dynamic placeholders like
Invoice # {INVOICE_ID} Paid - Customize the Message Body: Use the rich text editor to compose your email.
3. Enable and Customize Text Message Notifications (Optional)
- Toggle the Feature: Locate the toggle labeled "Send notification to customer for paid invoices (text message)" and switch it to On.
- Compose the Text: Draft your text message in the provided field.
- Note: Text messages have a maximum limit of 160 characters.
Utilizing Placeholders
You can personalize these messages by inserting dynamic text placeholders. The system will automatically populate these fields with the specific details of the transaction.
