This guide explains how to efficiently filter your Active Invoices page using tags. Applying tag filters allows you to quickly isolate specific groups of invoices, while excluding tags helps you weed out clutter and focus precisely on the data you need.

Overview of Tag Filtering

Tags act as custom labels for your customers (e.g., Urgent, Q2-Project, Internal). On the Active Invoices page, the tag filter operates using AND / OR logic depending on how you select them, giving you granular control over your invoice views.

Property-Level Tags

Before filtering, it is important to understand where your tags inherit their data. Tags are applied at the Property Level.

  • How it works: When a tag is associated with a specific property profile, any invoice generated for or linked to that property will dynamically carry that property's tags.
  • The Benefit: You don't have to manually tag invoices themself. If the property is tagged as Commercial or Managed-Group-A, all created invoices for that location will automatically be categorized under those filters.

How to Filter by Including Tags

Use this method when you want to view invoices that match specific categories or labels.

Step-by-Step Instructions

  1. Navigate to the Active Invoices page from your main dashboard.
  2. Click on the Filter Tags dropdown menu located at the top of the invoice list.
  3. Start typing the name of the tag you want to include, or select it from the scrollable dropdown list.
  4. Once tags are selected the page will refresh with the results

If you select multiple tags in the regular filter (e.g., Pending and High-Value), the system defaults to OR logic showing any invoices that has at least one of those tags.

  • To require all of the tags select the Require All (AND) option at the top of the list. With this option selected it will only show invoices for customers that possess all the selected tags.

How to Filter by Excluding Tags

Excluding tags is incredibly useful when you want to clean up your dashboard for example, viewing all active invoices except those marked as On-Hold or Disputed.

Step-by-Step Instructions

  1. Navigate to the Active Invoices page from your main dashboard.
  2. Click on the Exclude Tags dropdown menu located at the top of the invoice list.
  3. Select the tags you wish to hide from your current view.
  4. Once tags are selected the page will refresh with the results

If you select exclude multiple tags in the regular filter (e.g., Pending and High-Value), the system defaults to OR logic showing any invoices that has at least one of those tags.

  • To require all of the excluded tags select the Require All (AND) option at the top of the list. With this option selected it will only show invoices for customers that do not possess all the selected tags.

Combining Include and Exclude Filters

For advanced reporting, you can combine both parameters simultaneously.

Troubleshooting & FAQs

  • Why am I not seeing any results?
You might have conflicting filters. For example, if you include the tag Paid but simultaneously exclude the tag Paid, the filters cancel each other out and will yield zero results. Clear your filters and try again.
