When a customer requests to switch their billing structure from a Prepay Program to a Pay-As-You-Go Program, you must manually update their property profile. Because changing a program resets the service schedule, there are crucial follow-up steps required to clean up unscheduled services and adjust any existing invoices.
This article walks you through the complete process of switching programs, removing duplicate service entries, and correcting the customer's final invoice.
Step 1: Switch the Program on the Property Profile
To change the customer’s payment structure, you must unassign the prepay template and assign the pay-as-you-go template.
- Navigate to the customer's account and open their specific Property Page.
- Scroll down towards the bottom right side of the page to find the Assign Programs section.
- Click inside the program selection box. The current prepay program will be highlighted in the drop-down menu.
- Uncheck the highlighted prepay program to remove it.
- Find and check the corresponding Pay-As-You-Go version of that program in the same menu.
- Click Save at the bottom of the page.
Result: The property is now officially moved to the Pay-As-You-Go program.
Step 2: Clean Up Duplicate Unscheduled Services
Assigning the new program automatically pushes a fresh set of services into the customer's queue. If you have already completed some services under the old prepay program, those exact services will now appear again as "unscheduled."
- The Action: Review the property's job queue and delete the duplicate unscheduled services for any rounds that have already been completed this season.
- Why this matters: Skipping this step will result in the customer accidentally being scheduled—and potentially billed—twice for the same service.
Step 3: Adjust and Send the Prepay Invoice
Because services were already performed under the prepay program, an invoice has likely already been generated. You will use this existing invoice to bill the customer only for what was actually completed.
- Locate and click on the Invoice Number generated by the original prepay program to open the edit screen.
- Review the line items and delete any services that have not been completed yet.
- Leave the completed services on the invoice so the customer is properly billed for the work already done.
- Click Submit at the bottom of the page to save your modifications.
Result: Your invoice is now accurate, reflects only completed work, and is ready to be sent to the customer. As services are completed going forward a new invoice will be created when each service is completed.
