SPRAYE Monthly Billing Workaround Instructions
Please note that this is only a temporary workaround and we will be releasing a new monthly billing/installment plan feature in the coming months.
Monthly Billing:
- Set up monthly billing Service(s) for each of your programs (you can also do this as a single service, but it will require price overrides if you choose to do this as a single service).
Set your pricing as follows:
Take your Minimum, Base and Price per thousand. Do this with each of them:
(Regular Price * # of services in your program) / Number of Monthly Payments
Enter the result into your service pricing
Example:
Program w/ 6 Services Priced as follows: $10/k, $50 base, $80 Minimum
I want to break this into 12 monthly installments
Price Per K: (10*6)/12 = $5/k
Base fee: (50*6)/12 = $25 base fee
Minimum: (80*6)/12 = $40 minimum
- Set up Monthly billing program(s) (prepay with monthly billing service)
- For each of the monthly billing services you created, you will want to create a single-service prepay program and name it something like "Lawn Treatment Program - Monthly Billing - January"
- Add the monthly billing service to that program
- Set up Manual billing program(s) (regular services) - '2026 | Program Name - Installment Billing'
- Create one of these for each program you offer as an installment billing program.
- This program will have all of your actual services in it (Round 1, Round 2, etc)
- These are the services you will schedule and complete.
- Assign all monthly billing customers to both manual billing program and prepay program
- This will ensure you have both the services you need to complete AND the invoice for the first month.
- You will then want to either send all your monthly invoices that are created or charge the cards on file from the active invoices page.
- Copy the Prepay ('Monthly Billing') program each month to auto-generate monthly invoices
- To run your monthly billing each month, you will need to make a copy of your "Monthly Billing" prepay program. This will create those monthly invoices again for you to either send or charge cards on file.
Estimates (these depend on what is required by your state):
- The ability to use interactive estimates to automatically place customers into installment programs will depend upon your state regulations.
- If you are required to provide individual service information and a price for each individual service, you will need to use the manual billing program to assign them to the normal program ... then you will need to manually add them to the monthly billing prepay program each time they accept.
- If you are not required to show each service and/or a price for each service, you would follow the below steps
- Add the Prepay "Monthly billing" program(s) to the estimate. You will need to place verbiage on the estimate to ensure the customer knows that this will be billed Monthly for however many services they choose. We would also recommend adding any specific information to the Property Notes section of the prepay program(s) to give more specific details.
- Customer will be able to see what their total monthly bill would be and pay for the first month immediately
- You will need to assign the customer to the manual billing program(s) to complete the work.
